East Mountain Chamber of Commerce
Board Meeting—May 25, 2007
Call to Order: The monthly board meeting of the East Mountain Chamber of Commerce was called to order by President Bill Walters at 9 a.m. at Burger Boy.
Board Members Present: Ellen Ashcraft, Jeffrie Burdette, Wayne Clay and Bill Walters
Others in Attendance: Julie Albright
Approval of Minutes: Ellen motioned and Jeff seconded the approval of the minutes from the April 13 board meeting and the May 3 general meeting. All approved.
Treasurer’s Report: Jeff notes that we still have no access to the golf account. Bill will contact Rohnn again about gaining access to the account.
Committee Reports:
Golf: Cindy Newman has resigned from the EMCC board and the golf tournament committee. Rohnn will move forward with tournament plans.
Old Business:
Speakers for the general meeting are arranged for the remainder of the year.
Jeff is investigating internet access for the Chamber office via Comcast and will keep the board informed.
New Business:
Jeff motioned that the Chamber institute a policy re: pro-rated membership so that memberships do not go “on sale” late in the year. Wayne seconded the motion and all approved. The policy will stand thus:
Dues paid after July 1 will be pro-rated as follows: $45 for a basic membership or $70 for an advanced membership. In addition, when a business makes a donation to a special event, such as the golf tournament or Breakfast with Santa, the donation will NOT include Chamber membership. Any exception to this policy will be made by the Board on a case by case basis and shall not be considered precedent.
The Village of Tijeras is concerned about the number of keys that are out for the Visitor Center and wants the Chamber to have them numbered and use a sign-out system. Rather than just number the existing keys, Wayne motioned that we change the lock and get all new, numbered and a set quantity of keys for the Visitor Center. Ellen seconded and all approved.
Effective immediately, the policy re: keys and their use is thus: Keys may be used to access the center to conduct chamber business. Members may check out a key for meetings that have been reserved via Julie on the center’s calendar. Keys MAY NOT be duplicated for any reason. Unless issued for consistent needs for an extended period, keys will be signed out from the Chamber administrator and returned within one week. Keys may not be loaned to any other person or business for any reason.
Adjournment: There being no further business, the meeting adjourned at 10 a.m.
